Dossilia terms of use
Last updated: November 3, 2026
These terms govern your use of the Dossilia platform, a service for firms and professionals and their clients.
1. Purpose and acceptance
Dossilia is a client-file tracking portal offered by Exode Immigration Canada (“Exode”, “we”, “us”) to firms and professionals (immigration and other professions), their assistants and their clients. By creating an account, signing in (including with Google or Facebook) or using the service, you accept these terms and the privacy policy. If you act for a firm or organization, you confirm that you have the authority to bind it. If you do not agree, do not use the service.
2. Roles
- The firm (the subscribing professional or organization): it chooses what information it collects from its clients, is responsible for it, and must comply with the laws and the rules of its regulatory body, including obtaining the necessary consents from its clients.
- A firm’s client uses their space to follow their file, answer questionnaires, upload documents and communicate with their firm. The service relationship is between the client and their firm, not with us.
- We provide the platform. We do not act as adviser, representative or agent of any firm or client.
3. Accounts and security
You must be 18 or older (or act for an organization) and provide accurate information. Keep your password confidential; you are responsible for activity under your account. Signing in with Google or Facebook is optional and is used only to identify you (see the privacy policy). Tell us immediately about any unauthorized access at support@dossilia.com.
4. Plans, prices and payment
Dossilia is offered with a free plan and paid plans, described on the plans page. Prices are in Canadian dollars (CAD) and exclude applicable taxes (GST and QST, as the case may be). Subscriptions are billed monthly or yearly, as you choose, and renew automatically until cancelled. You can change plan or cancel at any time from your space; cancellation takes effect at the end of the period already paid. Payments are processed by a third-party payment gateway (for example Stripe): we do not store your card numbers. We may change our prices for a future period by giving you advance notice.
5. Acceptable use
You agree not to: use the service unlawfully or fraudulently; upload content you have no right to use, or malicious software; try to access another firm’s data or bypass security; overload the service; send unsolicited emails; or resell access to the service without our written consent.
6. What Dossilia is not
Dossilia is a management tool. It provides no legal advice, no immigration advice and no guarantee that an application will be approved. Official forms belong to their departments; Dossilia is not a service of the Government of Canada or the Government of Quebec. The firm alone remains responsible for the accuracy and completeness of the files it prepares and submits.
7. Your content and data
You (the firm) remain the owner of the content and information you enter or upload. You grant us only the limited right to host, process and display it in order to provide the service. You can export your space’s data at any time (ZIP file). We do not sell your data and do not use it for advertising.
8. Roles and data processing
For its clients’ information (identity, documents, messages, invoices and other items placed in files), the firm is the responsible party: it decides the purposes and means of processing and how long the information is kept. Exode acts as a processor (service provider): we process that information only to provide the service and on the firm’s instructions, given in particular through its settings and its use of the service, and not for our own purposes. A data processing agreement is available on request at confidentialite@dossilia.com. The information in the accounts of the firm and its team (identity, email, billing) is our responsibility; see the privacy policy.
9. Retention and deletion
The default file retention period is 5 years. The firm can adjust it according to its profession and legal obligations; it is up to the firm to comply with the periods required by its regulatory body (this is not legal advice). You can delete your account from your space: deletion is preceded by a 30-day grace period, during which you can cancel it, after which the data is deleted, subject to anything that must be kept by law. Backup copies are overwritten on their normal cycle. To ask for your data to be deleted (including data linked to a Google or Facebook sign-in), see the Data deletion page.
10. Availability and support
We make reasonable efforts to keep the service available and secure, but we do not guarantee uninterrupted or error-free operation. Interruptions may occur for maintenance or for reasons beyond our control. Support is provided by email at support@dossilia.com.
11. Intellectual property
The service, its software, design, trademarks and documentation belong to Exode Immigration Canada or its licensors. Your subscription gives you a personal, non-exclusive, non-transferable right of use for the duration of the subscription.
12. Limits of liability
To the extent permitted by law, the service is provided “as is”, subject to the warranties that the law imposes. We are not liable for indirect or consequential damages (for example loss of profits or clients, or business interruption), nor for decisions made by a firm or an authority regarding a file. Subject to what follows, our total liability to you for all claims relating to the service is limited to the amounts you paid us for the service during the 12 months before the event giving rise to the claim.
No limit or exclusion in this section applies: (a) to our intentional or gross fault; (b) to compensation for bodily or moral injury; or (c) to any liability that cannot be excluded or limited by law (art. 1474 of the Civil Code of Québec), nor to the rights that mandatory law gives a consumer.
13. Suspension and termination
We may suspend or close an account that breaches these terms, poses a security risk or is unpaid, notifying you where possible. You can stop using the service and delete your account at any time. Sections that by their nature should survive (intellectual property, limits of liability, governing law) continue to apply.
14. Changes
We may change these terms. The update date appears at the top of the page; for a significant change, we will notify you in the service or by email. Continuing to use the service after the change takes effect means you accept it.
15. Governing law, courts and language
These terms are governed by the laws of Quebec and the federal laws of Canada that apply there. Any dispute falls within the jurisdiction of the courts of the judicial district of Montréal, without prejudice to a consumer’s right to bring proceedings before the court of their domicile. The parties have expressly required that these terms be drafted in French; the English version is provided for convenience and, in case of discrepancy, the French version prevails.
